Use of Artificial Intelligence Policies

Gharyan Journal of Technology (GJT) is committed to the principles of research integrity, transparency, and accountability in the use of artificial intelligence (AI) technologies and automated tools in the preparation, peer review, and publication of scholarly research. This policy is based on international best practices in scholarly publishing.

1. Use of Artificial Intelligence by Authors

  1. Authors may use artificial intelligence tools and automated tools, including generative artificial intelligence (GenAI) tools and large language models (LLMs), such as ChatGPT, Gemini, and Claude, to assist in the preparation of manuscripts, provided that they adhere to the principles of research integrity and remain fully responsible for the final content.
  2. Authors must disclose the use of generative artificial intelligence in preparing a manuscript when such use goes beyond basic language correction, editing, or formatting.
  3. The disclosure should clearly state the name of the tool or system used, the nature and purpose of its use, and the section(s) of the manuscript that benefited from its use.
  4. Authors bear full responsibility for the accuracy, validity, and integrity of all information, data, analyses, and conclusions presented in the article, including any content generated or modified with the assistance of AI tools.
  5. Authors must independently verify the outputs of AI tools, including factual information, references, citations, and results, and must not rely on AI-generated outputs as authoritative sources without appropriate verification.
  6. AI tools must not be used to generate fabricated or misleading research data, results, references, or scientific information.
  7. No AI tool or automated system may be listed as an author or co-author. Authorship is limited to individuals who meet the journal's established authorship criteria.
  8. Generative AI tools must not be cited as original scholarly sources. Authors should consult, verify, and cite the original scholarly sources.

2. Acceptable Use of Assistive Tools

Routine use of tools whose functions are limited to spelling or grammar correction, basic language improvement, or formatting does not normally require disclosure, provided that such use does not result in the creation of new scholarly content.

However, the use of generative AI to create text, ideas, analyses, or other scholarly content that goes beyond language correction and editing must be disclosed in accordance with this policy.

3. Use of Artificial Intelligence by Peer Reviewers

Peer reviewers must maintain the confidentiality of manuscripts and all materials submitted to them for review.

Reviewers must not upload manuscripts, portions of manuscripts, or any confidential information relating to a manuscript into generative AI tools, due to the potential risks to confidentiality, privacy, and intellectual property rights.

Reviewers must also not use generative AI to generate peer-review reports or scholarly evaluations of manuscripts.

Reviewers remain fully responsible for the content of their review reports and recommendations.

4. Use of Artificial Intelligence by Editors and the Editorial Board

Editors and members of the Editorial Board must not upload manuscripts or confidential information relating to them into generative AI tools when making editorial decisions or evaluating manuscripts.

Generative AI tools must not be used to independently generate editorial evaluations or acceptance or rejection decisions without human judgment and oversight.

The journal may use certain automated tools for specific purposes related to the management of the publication process or the detection of potential research integrity issues, provided that the outputs of such tools are subject to human review and verification before any editorial action is taken.

5. Responsibility and Transparency

Gharyan Journal of Technology emphasizes that the use of artificial intelligence does not relieve authors, peer reviewers, editors, or members of the Editorial Board of their professional and ethical responsibilities.

The journal reserves the right to request clarification from authors regarding their use of AI tools and to take appropriate action if undisclosed use is identified or if the use of AI results in a breach of research integrity or misleads readers.

6. Policy Updates

This policy will be reviewed and updated periodically to reflect developments in artificial intelligence technologies and evolving international best practices in scholarly publishing ethics.
